Off Head is a personal memory and reminders app made by KAZTEK LLC. You tell it things; it holds them and reminds you. This policy explains — in plain English, and matching what the app actually does — what data is involved, where it goes, and how you stay in control.

We only collect what the app needs to work. There are three kinds of data:
When you capture a memory or a reminder — by voice or by typing — the app stores what you told it and the structure it derived from that:
Because you can say anything to Off Head, what you save may include sensitive things — medication schedules, money, relationships. We treat it all the same way: private to your account, never sold, never used for advertising, never used to train AI models.
Off Head is local-first: everything you save is stored in a database on your device, so the app works fully offline.
When you are signed in, your memories and reminders are also synced to our backend — a Supabase-hosted PostgreSQL database in the United States — so your data survives a lost phone and follows you to a new device. Every table is protected by row-level security: database rules ensure your account can only ever read and write its own rows.
Off Head requires an account: after the first-run introduction you sign in (or create an account) before capturing anything. That's what makes sync, reminders-by-push, and account deletion possible.
Speech-to-text is performed by your phone's built-in speech recognition — Apple's on iOS, Google's on Android. What that means honestly:
Off Head uses Anthropic's Claude models — called through our own server, never directly from your device — for two things. In both cases, per Anthropic's commercial API terms, your data is not used to train AI models, and we send only what the feature needs:
When the “Polish with AI” setting is on (it's on by default) and you're signed in, the text of a capture — plus your current local date and time, so “tomorrow at 3” resolves correctly — is sent to Claude to fix transcription errors, tidy the wording, and extract the structure (category, dates, reminders, list items, and so on).
Turn Polish with AI off in Settings and captures are processed entirely on your device by a built-in parser instead. Nothing about a capture is sent to Claude while it is off. The same is true whenever you're offline or signed out.
When you ask Off Head a question (“when is Sarah's birthday?”), the app sends your question plus the most relevant of your saved memories to Claude to compose the answer. Relevance is worked out inside our database using the embeddings described above — typically the top 15 or so memories are sent, not your whole collection (with a capped fallback set if embeddings aren't ready yet).
To be clear: asking a question is an AI feature — it uses Claude whenever you're signed in and online, independent of the Polish with AI setting. If you're offline or signed out, the app falls back to an on-device keyword search instead.
Reminders normally fire as local notifications scheduled on your device — no server involved. As a backstop, if a reminder comes due while the app can't fire locally (for example, it was force-closed), our server sends it as a push notification. That push — containing the reminder's title — travels through Expo's push service and then Apple's or Google's notification service to reach your device. Delete a reminder and there's nothing left to send.
We use a small number of providers to run Off Head. Each processes data only to provide their service to us — none of them may use your data for their own purposes, and none of it is sold.

The app also makes one small housekeeping request to Apple's public App Store API to check whether a newer version exists. It contains no personal data beyond what any web request carries.
We keep your data for as long as you keep your account — there is no other retention schedule, because the entire point of the app is to remember things until you say otherwise. You have two erase buttons, both in Settings:
Forget everything. Permanently deletes every memory and reminder — from your device and, if you're signed in, from our server — but keeps your account so you can start fresh.
Delete account. Permanently deletes your account and everything in it: profile, memories, reminders, push tokens, and the Apple token (after we use it to revoke your Sign in with Apple grant). This is a hard delete on our server, effective immediately, and cannot be undone. Residual copies in encrypted database backups expire on their own within about 30 days.

No system is perfectly secure. If a breach ever affects your personal data, we will notify you and the relevant authorities as required by law, and tell you plainly what happened and what we're doing about it.
Off Head is not directed at children under 13, and we do not knowingly collect personal data from anyone under 13. If you believe a child under 13 has created an account, email [email protected] and we will delete it.
If you are in the European Economic Area, the United Kingdom, or another place with similar data-protection law, KAZTEK LLC is the data controller for your data, and we process it on these legal bases:
You have the right to access, correct, export, restrict, object to the processing of, and delete your personal data, and the right to complain to your local supervisory authority. Most of this you can do yourself, instantly, in the app — everything you've saved is visible and editable there, and both deletion controls are in Settings. For anything else, including a copy of your data in a portable format, email [email protected] from your account's email address and we'll respond within 30 days.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising — we have no advertising of any kind. We have not done either in the preceding 12 months. California residents have the rights to know, delete, correct, and port their personal information, and to not be discriminated against for exercising them; use the in-app controls or email [email protected].
Off Head is operated from the United States and your data is stored and processed there. If you use the app from outside the US, your data is transferred to the US. Our providers offer contractual safeguards for such transfers (such as the EU's Standard Contractual Clauses in their data-processing agreements), and the protections in this policy apply wherever your data is processed.
If we change this policy, we'll update this page and the date at the top. If a change meaningfully reduces your privacy — which is not the plan — we'll tell you in the app before it takes effect. Continued use after a change means you accept it.
